Job Purpose:
This role sits within the Sector Development Directorate in Fáilte Ireland. The successful candidate will play a key role in the Division responsible for the new Short-Term Letting (STL) Register and the future development of the accommodation quality system, supporting the sustainability and further development of the Irish accommodation sector.
The successful candidate will be working cross-functionally with other teams and stakeholders and must be able to demonstrate excellent relationship management skills.
JOB DESCRIPTION
Primary Objectives/Key Responsibilities
Support the delivery, launch and implementation of the STL register, in line with defined objectives and timelines. This requires familiarity with CRM systems (Microsoft Dynamics or equivalent) and data management.
GDPR Compliance
Actively support ongoing management of the register and data management in line with agreed processes and policies.
Responsibility for general administrative duties for the team e.g., e-mail enquiries, recording and distributing meeting minutes, proofing documents.
Regular communication and coordination with Fáilte Ireland’s Customer Support Team on query management. Monitor stakeholder feedback and queries to inform team activities.
Support team in stakeholder engagement activities, including liaising with stakeholders, coordinating communications, drafting content, preparing presentations and assisting in the delivery of engagement plans and events.
Support the creation and updating of content to assist user interaction with the STL registration process, including guidance documents and website updates.
Represent where appropriate the team at internal and external events.
Provide logistics support for and attend meetings/ workshops/events with internal and external stakeholders e.g., by setting up venue, organising room layout, booking accommodation, dealing with the invitees.
Ensure all procurement and purchasing is in line with Fáilte Ireland policy.
Support finance-related processes e.g., Administering budgets, payments, purchase orders, invoices, and reports.
Ensure that any team reports and updates are available in an agreed format when required.
Contribute to the preparation of briefing materials and reports for internal and external stakeholders
Undertaking research activity as required.
Actively contribute to Divisional targets
Carry out all other duties as needed and participate as a full member of the Accommodation Registration and Grading team by supporting different work activity, both within the team and across the Division, as required.
PERSON SPECIFICATION
The successful candidate will have the ability to manage multiple priorities and tasks, often working to tight deadlines.
They will also take initiative while supporting wider team and stakeholders, and will be able to demonstrate strong relationship management skills.
Knowledge and experience of the national tourism accommodation sector in Ireland would be of benefit.
ESSENTIAL CRITERIA
Strong office management and administration skills.
Strong communication and interpersonal skills with the ability to communicate effectively both orally and in writing.
Strong organisational and time management/planning skills, including the ability to prioritise work and meet multiple deadlines.
Meticulous attention to detail when preparing documents.
Proficiency in database maintenance and data management.
Be proactive active/self-starter
In order to be eligible to apply for this role you must have / demonstrate in your application form the following:
A minimum of two years’ experience in an administrative role
Strong proficiency in MS Office (Teams, Word, Excel etc.)
Experience with IT systems, e.g. CRM systems
Experience in updating and managing content on websites and ezines
QUALIFICATIONS/MANDATORY TRAINING
A Professional Qualification (minimum Level 6 under the QQI Framework) in a related discipline is essential.
DESIRABLE CRITERIA
Experience in the tourism sector, with an understanding of the tourist accommodation sector
