Fáilte Ireland invites applications for the position of Support, Accommodation Registration and Grading - Short Term Letting Registration. The role will report to the Manager, Accommodation Registration & Quality - Registration.
Job Purpose
The successful candidates will contribute to the operation and administration of the Business Unit team. The successful candidate will work in the Registration and Grading Division, as part of the Short Term Letting Registration team, to deliver and implement the forthcoming Short Term Letting (STL) Register. When launched, this online registration system will require STL hosts to register their property/properties annually. Once registered, each property will be provided with a STL registration number for use on all booking platforms and advertisements.
Job Description
Primary Objectives/Key Responsibilities
General
Support the implementation of new and existing systems, processes and polices to support the STL Register
Support the creation of reports, data management and analysis relating to the STL register
Implementation and integration of the team’s requirements on the CRM system including the associated design, development, and user acceptance testing (UAT) work for the STL register
GDPR Compliance.
Operational
Responsibility for all general administrative duties for the team e.g., e-mail enquiries, recording and distributing meeting minutes, proofing documents
Support the administration relating to new and existing systems, processes and polices
Regular communication and coordination with Fáilte Ireland’s Customer Support team on query management
Support the creation and updating of content to assist user interaction with the STL registration process, including guidance documents and website updates
Represent where appropriate the team at internal and external events
Provide logistics support for and attend meetings/ workshops/events with internal and external stakeholders e.g., by setting up venue, organising room layout, booking accommodation, dealing with the invitees
Ensure all procurement and purchasing is in line with Fáilte Ireland policy
Suport finance-related processes e.g., Administering budgets, payments, purchase orders, invoices, and reports
Ensure that any team reports and updates are available in an agreed format when required
Undertaking research activity as required.
Carry out all other duties as needed and participate as a full member of the team by supporting different work activity, both within the team and across the Division, as required.
This role requires travel, with attendance at a number of national and regional locations / sites on an annual basis.
The flexibility to travel domestically, and on occasion internationally is an element of this role.
Person Specification
Essential Criteria
Meticulous attention to detail when preparing documents
Evidence of proactive activity/self-starter
Experience in working with stakeholders
Evidence of strong organisational and time management/planning skills, including the ability to prioritise work and meet multiple deadlines.
In order to be eligible to apply for this role you must have / demonstrate in your application form the following
A minimum of 2 years’ experience in an administrative support role with strong office administration skills;
Strong proficiency in IT systems, e.g. CRM systems, MS Word and Excel;
Proficiency in database maintenance and data management.
Qualifications/Mandatory Training
A professional qualification (minimum Level 6 under the QQI Framework) in a related discipline is essential.
Desirable Criteria
Experience in the tourism sector, with an understanding of the tourist accommodation sector an advantage;
Experience in administering a reporting / analytics platform and liaising with external suppliers to resolve technical and non/technical system queries
Experience in data analysis, including utilising software to analyse complex datasets to report on trends and market insights
Experience in updating and managing content on websites and ezines.
