Full-time, Monday to Friday, 9.00am to 5.00pm, based full time in Fáilte Ireland Head Office, Amiens Street, Dublin 1.
Job Purpose:
Fáilte Ireland is recruiting for a role designed to provide a professional, welcoming first point of contact for clients, visitors, stakeholders, and staff in Fáilte Ireland’s head office in Amiens Street. This role will support the smooth and efficient operation of the organisation’s front‑of‑house and administrative functions.
This dedicated Support role will ensure a consistent, professional first impression of the organisation, improve visitor management, safety, and security procedures, strengthen internal communications and coordination, support accessibility and inclusive service delivery.
In addition, provide high-quality administrative and coordination support to the Directors, ensuring the efficient operation of the Directors’ offices and enabling effective delivery across the Directorates.
This role will report into the Officer, Corporate Services.
Job Description
Primary Objectives/Key Responsibilities
Receptionist
As the welcoming first point of contact for clients, visitors, stakeholders, and colleagues in Fáilte Ireland’s head office in Amiens Street, this role will support the smooth and efficient operation of the organisation’s front‑of‑house administrative functions.
Act as the professional first point of contact for all visitors, clients, stakeholders, and colleagues, delivering a warm, courteous and efficient front‑of‑house experience.
Manage the reception area to ensure a consistently high standard of presentation, professionalism, and organisation.
Coordinate visitor management processes, including sign‑in procedures, meeting room allocation, and host notifications.
Support the smooth day‑to‑day operation of front‑of‑house services, ensuring all enquiries are handled promptly and effectively.
Maintain and enhance safety and security procedures, including monitoring access control and adhering to organisational protocols.
Operate the main telephone switchboard, professionally answering and managing incoming calls in a timely and courteous manner.
Accurately screen, direct, and relay calls to appropriate colleagues or departments, ensuring queries are handled efficiently and resolved or redirected as required.
Provide administrative support to Corporate Services functions, contributing to efficient office operations.
Facilitate effective internal communication by liaising with colleagues across the organisation to coordinate meetings, visitors, and requests.
Support accessibility and inclusive service delivery, ensuring that all visitors receive appropriate assistance and a positive experience.
Assist with coordination of facilities and front‑office resources to ensure a seamless and professional workplace environment.
Champion a positive organisational image by consistently delivering a high‑quality, customer‑focused service.
Personal Assistant to Directors
As PA to the Director, Demand Development and Director, Product Development ensure that all interactions on the Directors’ behalf are dealt with in a highly professional manner with a focus on corporate and directorate reputation and are cognisant of the strategy priorities of the organisation.
Provide a comprehensive secretarial and administrative service to the Directors across a range of work.
Secure, and where appropriate, prepare draft responses to the CEO, Executive Team, Board members and other stakeholder queries in a timely and professional manner.
Develop, maintain and review administrative reporting across the directorates to achieve maximum efficiency.
Maintain and organise the relevant diaries, filing system and all other relevant areas as necessary and ensure all correspondence is responded to within target timescales.
Ensure all action points for the Directors arising from meetings and/or requests for decisions from colleagues and external stakeholders are logged and actively tracked to ensure delivery against required timelines.
Plan and organise internal and external meetings as directed.
Co-ordinate travel arrangements and itineraries as required.
Maintain and continuously keep up to date key stakeholder mailing lists on behalf of the Directors.
Liaise positively and professionally with colleagues and visitors.
Build professional working relationships with the CEO and Executive Team, building your corporate knowledge, while providing a professional and confidential service to the Directors.
Liaise on behalf of the Directors with Divisional Heads, officials of Government Departments and State Agencies, Local Authorities and all third parties, as necessary.
Prepare documents, presentations and other communication material as required, and where necessary undertaking research to garner the required information.
Collate key directorate reports for submission to the Executive Team and Board as required.
Undertake any other duties on behalf of Fáilte Ireland as may be assigned from time to time.
Participate as a full member of the team, supporting the work of the wider Corporate Services team and organisational projects as required.
Person Specification
Essential Criteria
The successful candidate will present as positive and engaging, with a keen eye for detail, and excellent oral and written communication skills. The successful candidate should also have strong computer skills and an ability to be flexible and adaptable whilst prioritising a busy workload.
The successful candidate will have the following essential skills and criteria:
Evidence of strong communication and interpersonal skills with the ability to communicate effectively both orally and in writing.
Evidence of strong organisational and time management/planning skills and the ability to prioritise work and meet deadlines.
Handling highly confidential and sensitive information relating to clients, associates, employees, business strategy and general administration.
In order to be eligible to apply for this role you must have / demonstrate in your application form the following:
2 years’ previous experience operating and co-ordinating a busy reception/office environment and/or delivering administrative support at senior management/C-suite level.
Previous experience of responsibility for co-ordinating a busy Receptionist role including telephony, visitor engagement and office management.
Previous experience in delivering a range of secretarial and administrative duties, including drafting correspondence, typing, maintaining records and preparing presentations for internal and external use.
Successfully interfacing with a wide range of internal and external stakeholders to achieve the necessary outcomes.
A high level of proficiency in Microsoft Word, PowerPoint and Excel.
Proficiency in the Irish language, sufficient to confidently converse, respond to calls, queries and emails in Irish.
Qualifications/Mandatory Training:
A professional qualification (min level 6 under the QQI framework) in a related discipline.

Selection Process:
Shortlisting will be based on applications and the selection process may involve two competency based interviews. A panel of successful candidates may be formed following the selection process.
